Getting started with Reddy Till

Everything you need from first login to your first sale. Follow the sections in order the first time you set up a new shop.

 First login

Your account credentials are sent by email when your Reddy Till account is created. Use them to log in as a Super Admin.

Open the login page

Go to your Reddy Till URL and click Login. Enter your email and password provided in the welcome email.

You land on the Admin Dashboard

After login you are taken to the main dashboard. This is your control centre for all shops, products, staff, and reports.

Change your password (recommended)

Use the account menu top-right to update your password before sharing access with staff.

Super Admin vs Employee Super Admin logs in with an email and password. Employees use a PIN on the POS terminal screen. They are separate authentication systems.

 Create your shop

A shop is the core unit in Reddy Till. Products, employees, terminals, stock, and transactions all belong to a shop. You must create at least one shop before you can do anything else.

Go to Settings > Shops

In the left sidebar expand Settings and click Shops.

Click Add Shop

Top right of the page. Fill in the shop name, address, timezone, and currency.

Set business hours

Choose opening and closing times for each day of the week. The POS uses these to trigger end-of-day reminders.

Save

Click Save. Your shop is now active. The dashboard header will show it as the current shop.

Multiple shops You can create as many shops as your plan allows. Use the shop switcher at the top of the sidebar to move between them. Each shop's data is completely isolated.

 Set up VAT / tax

Reddy Till uses Tax Profiles and Tax Rules to handle VAT flexibly. Set these up before adding products so every product is correctly taxed from day one.

Create a Tax Profile

A Tax Profile is a named set of rules (e.g. "Standard VAT", "Zero-rated"). Go to Settings > Tax Profiles and click Add.

Add a Tax Rule to the profile

Inside the profile, add a rule with the percentage rate (e.g. 23%) and choose whether prices in the system include or exclude that tax.

Assign the profile to your shop

Edit your shop (Settings > Shops > Edit) and select the default Tax Profile. Every product in this shop will use it unless overridden at category or product level.

Include vs exclude VAT Set price includes VAT if you want to enter shelf prices with tax already in them (e.g. €10.00 including 23%). Set price excludes VAT if you enter net prices and want tax added at the till.

 Add employees

Employees log into the POS with a PIN. Each employee has a set of permissions that controls exactly what they can do.

Enter the employee's name, role, and PIN

The PIN is 4 digits and must be unique within the shop. The employee will use it every time they log into the POS.

Set permissions

Tick the permissions this employee needs. Permissions include: sell, manage products, view reports, manage inventory, open/close till, manage employees, and more.

Save

The employee can now log into any terminal paired to this shop using their PIN.

11 granular permissions A cashier only needs can sell. A stock manager needs can manage inventory. A supervisor may need can view reports and can open/close till. Set only what each role genuinely needs.

 Install POS Bridge

The POS Bridge is a small local application that runs on the till PC. It allows the browser-based POS to communicate with your USB receipt printer and cash drawer.

Download the installer

The installer is available from your Admin Dashboard under Settings > POS Terminals. Click Download POS Bridge.

Run the installer on the till PC

Double-click the installer and follow the prompts. POS Bridge installs as a background service and starts automatically on boot.

Enter the authentication code

During setup you are prompted for an authentication code. Find this code in the Admin Dashboard under Settings > POS Terminals for the relevant terminal. Copy it exactly and paste it into POS Bridge.

Connect your printer and cash drawer

Plug in your USB receipt printer. The cash drawer connects through the printer's RJ11 port. POS Bridge detects them automatically.

Confirm the Bridge is running

A small icon appears in the Windows system tray (or macOS menu bar). Green means it is connected and ready. The Bridge not connected banner in the POS header will disappear once a successful connection is made.

One Bridge per machine POS Bridge is installed once per till PC. If you have three machines running the POS, install it on all three.

 Pair the terminal

Pairing registers a specific PC or Mac as an authorised terminal for your shop. Each terminal gets a unique token that ties it to one machine.

Create a terminal record in the dashboard

Go to Settings > POS Terminals and click Add Terminal. Give it a name (e.g. "Till 1") and save.

Copy the pairing token

After saving, a unique pairing token is shown. Copy it; you will need it on the till machine.

Open the POS pairing page on the till PC

On the till machine, open a browser and go to your Reddy Till URL followed by /pair/. Paste the token and click Pair this device.

Terminal is now paired

The browser on that machine is now the registered POS terminal. Employees can log in with their PIN and start selling.

Token is single-use Once a token has been used to pair a device it cannot be reused. If you replace a machine, revoke the old terminal in the dashboard, create a new terminal record, and pair with the new token.

 Open a POS day

The POS requires a day to be opened before any sales can take place. Opening the day records your starting cash float and marks the till as active for trading.

Log in to the POS terminal

Enter your PIN on the employee login screen. If the day has not been opened yet, the product catalog appears blurred with a POS Day Not Open overlay.

Click "Start a New Day"

The Open POS Day modal appears. Count the money currently in the till drawer before proceeding.

Enter the opening cash amount

Type the total cash float in the till (notes + coins). This figure is used at end of day to calculate expected cash and identify any discrepancy.

Add optional notes and click Open Day

Notes are internal only (not printed). Click Open Day. The overlay disappears and the product catalog is live for selling.

Permission required Only employees with the can open/close till permission can open or close a POS day. A cashier without this permission will see the overlay and need a manager to open the day.

 Add categories

Categories group your products together. They appear as filter tabs at the top of the POS product grid, helping staff find items quickly during a sale.

Go to Products > Categories

Enter a name

Choose a short, clear name (e.g. "Drinks", "Accessories", "Electronics"). Staff will see this label on the POS category tab.

Save

The category is now available when adding or editing a product.

Categories are company-wide Categories belong to your company, not a specific shop. All shops in your company share the same category list.

 Add a product

Products are created at the company level and then made available to individual shops. This means you only ever create a product once, even if you sell it in multiple locations.

Fill in the product details

Enter the product name, choose its category, and optionally add a SKU or barcode for scanning at the POS.

Save the product

Click Save. The product is created but not yet visible at any till.

Set shop availability and price

Open the product and click Shop Availability. Enable the product for each shop where it should be sold and set the shop-specific price and stock quantity. The product will not appear on the POS until this step is complete.

Different prices per shop Shop Availability lets you set a different selling price and stock level for each shop. A product can cost €5 in one branch and €6 in another.

 Product variants

Variants are options on a single product, for example a T-shirt sold in Small, Medium, and Large. Each variant can have its own price, SKU, and stock level.

Open the product and go to the Variants section

From Products & Catalog > Products, click the product name, then scroll to the Variants section.

Add a variant option and values

For example, create an option called "Size" with values "Small", "Medium", "Large". Each value becomes a separate variant.

Set each variant's price and stock

Go to Shop Availability for the product. Each variant can have its own shop-specific price and stock quantity.

Variant selection at the POS When a staff member taps a product that has variants, a popup immediately appears asking them to pick the correct option before it is added to the cart. No variant can be skipped.

 Employee PIN login

Every employee clocks in at the POS terminal using their 4-digit PIN. This starts their shift and records their clock-in time for payroll.

Open the POS terminal in your browser

Navigate to the POS URL on the paired till machine. The login screen shows the shop name and terminal name at the top.

Enter your 4-digit PIN

Tap the digits on the on-screen pad (or type on your keyboard). The display shows dots as you type. Press the Login button (✓) to submit.

You are clocked in and taken to the POS

Your name and a live work-time counter appear in the POS header. The counter shows how long you have been on shift, excluding any breaks.

PIN not working? Your PIN is set by a manager in the Admin Dashboard. If it is rejected, ask your manager to check it under People & Payroll > Employees. See Forgot my PIN for more detail.
Each login starts a tracked shift Clock-in time, break time, and clock-out time are all recorded automatically and feed into payroll reports.

 Ring a sale

The POS screen is split into two areas: the product catalog on the left and the current sale cart on the right. Add items to the cart, adjust quantities, then proceed to checkout.

Confirm the day is open

If you see the POS Day Not Open overlay, the day must be opened first. See Open a POS day.

Find the product by category or search

Use the category tabs at the top of the product grid to filter by category. Or type in the search bar to search by product name, SKU, or scan a barcode; the POS detects barcodes automatically and searches the full catalog instantly.

Tap a product card to add it to the cart

The item appears in the cart on the right. If the product has variants (e.g. size or colour), a popup appears so select the correct option before it is added.

Adjust quantities in the cart

Use the + and − buttons on a cart line to increase or decrease quantity. Tapping × removes the line entirely. The cart totals update in real time.

Review the totals

The cart footer shows: item subtotal, VAT/tax, any discount applied, and the grand total. All amounts update instantly as items are added or removed.

Click Checkout when ready

The payment modal opens. See Complete payment for the next steps.

Clear the cart at any time Click Clear in the cart footer to remove all items and start a fresh transaction. No sale is recorded when you clear the cart.
Barcode scanning The search bar accepts barcode scanner input directly. Just focus the search bar and scan; the POS identifies it as a barcode and matches the product immediately, saving time at a busy till.

 Quick sale

Quick Sale lets you add a one-off item to the cart with a custom description and price, without needing a product record in the catalog. Useful for ad-hoc charges or items not yet set up.

Click the Sale button in the cart footer

The Quick Sale modal opens.

Enter a description, price, and quantity

Type a short description (e.g. "Delivery charge"), the price per unit, and the quantity. All three fields are required.

Click Add to Cart

The item is added to the current sale cart and included in the checkout total.

Quick sale items do not affect stock Because they have no product record, quick sale lines are not linked to inventory. Use them sparingly; add proper products to the catalog for items you sell regularly.

 Apply a discount

A discount can be applied to the whole order at any point before checkout. You can choose a percentage off or a fixed euro amount off.

Click the Discount button in the cart footer

The Apply Discount modal opens. At least one item must be in the cart before a discount can be applied.

Choose the discount type

Select Percentage (%) to take a percentage off the total, or Fixed Amount (€) to deduct a set euro value.

Enter the value and an optional reason

Type the discount value (e.g. 10 for 10% or 5 for €5 off). Add a reason such as "Loyalty discount" or "Damaged packaging"; this is useful for reports when reviewing discounts.

Click Apply Discount

A discount line appears in the cart totals showing the deduction. The grand total updates to reflect the reduced amount.

To change or remove the discount

Click Edit Discount (the small link below the discount line in the cart) to open the modal again and update or clear the discount.

Discounts are applied to the whole order The discount reduces the overall transaction total, not individual line items. Discount amounts are recorded in the daily Z-report for end-of-day reconciliation.

 Cash in / cash out

Cash Operations let you record money being added to or removed from the till drawer outside of a normal sale. This keeps cash reconciliation accurate at the end of the day.

Click the Cashout button in the cart footer

The Cash Operation modal opens.

Select the movement type

Cash In: adding cash to the drawer (e.g. topping up change).
Cash Out: removing cash from the drawer (e.g. paying a driver).
Cash Drop (To Safe): moving excess cash from the drawer to the safe.

Enter the amount and reason

Type the euro amount and a brief reason. Reasons are required and appear in the cash movement log.

Click Submit

The movement is logged and will be included in the end-of-day cash reconciliation calculation under Cash In, Cash Out, or Cash Drop.

Always record cash movements Every time cash leaves or enters the drawer for any reason other than a sale, log it here. It ensures your expected cash figure at close of day is correct.

 Complete payment

Once the cart contains all the items for the transaction, click Checkout to open the payment modal and finalise the sale.

Select a payment method

Cash: a cash tendering panel opens below. Quick-select a note denomination (€5, €10, €20, €50, €100, €200) or type an exact amount. The change to return is calculated automatically and displayed in green.
Card: select Card to record the transaction as a card payment. No change calculation is shown.

Complete the sale

Complete & Print: finalises the sale and sends a receipt to the printer via POS Bridge. The cash drawer opens automatically for cash payments.
Complete & No Print: finalises the sale without printing a receipt. The drawer still opens for cash.

Cart clears and is ready for the next sale

The transaction is saved and the cart resets to empty. The daily totals in Close Day will include this sale.

Bridge not connected? If the Bridge not connected badge is visible in the POS header, receipts will not print. You can still process sales using Complete & No Print. See Receipt not printing to resolve the bridge issue.

 No sale (open drawer)

A No Sale opens the cash drawer without creating a transaction. Use it when you need to access the drawer to give change or retrieve something, outside of a normal sale.

Click the No Sale button in the cart header

The No Sale modal opens. You can add an optional note explaining why the drawer was opened.

Click Open Drawer

The cash drawer opens (requires POS Bridge to be running and connected). The event is recorded in the No Sale log with a timestamp and the employee's name.

All No Sale events are logged Managers and employees with the can view reports or can open/close till permission can view the No Sale log from the hamburger menu. Use No Sale responsibly; every drawer open is recorded.

 Taking a break

Breaks are timed and recorded automatically. Break time is deducted from your total shift hours when payroll is calculated.

Open the quick-access menu

Click the ☰ (hamburger) icon in the top-right corner of the POS screen.

Click Start Break

A break indicator appears in the POS header showing the time your break started and a running break timer.

End your break

When you return, click the ☰ menu again and click End Break. The break indicator disappears and the break duration is saved against your shift.

Break time is deducted from worked hours Your payroll report shows gross hours (clock in to clock out) and net hours (gross minus all break time). Multiple breaks per shift are supported.

 Switch user

Switch User lets a different employee take over on the same till without closing and reopening the POS day. Each transaction is attributed to whichever employee is logged in at that moment.

The incoming employee enters their PIN

The new employee types their 4-digit PIN and presses ✓.

The session switches immediately

The POS header updates to show the new employee's name. All subsequent sales are recorded under their account. The previous employee is not clocked out.

The hours of both employees are tracked separately. This only switches the active session, not the clock-in status.

Cart is preserved during a switch Any items already in the cart when Switch User is triggered remain in the cart. The incoming employee picks up exactly where the previous one left off.

 Close the day

Closing the day ends trading for the session, reconciles your cash, and generates a Z-report summary. All remaining employees are clocked out when the day closes.

Click ☰ menu > Close Day

The Close Day option is only visible to employees with the can open/close till permission. The Close Day modal opens and loads the day's figures.

Review the daily summary

The top section shows: Total Sales, Transaction Count, Cash Sales, Card Sales, Discounts, Refunds, Voids, and Cash In/Out movements. Check these figures before proceeding.

Count the physical cash in the drawer

Count all notes and coins currently in the till. The modal shows the breakdown: Opening Float + Cash Sales + Cash In − Cash Refunds − Cash Out = Expected Cash in Till.

Enter the actual cash counted

Type your counted amount into the Actual Cash Counted field. The system immediately calculates and displays the Over / Short amount, showing the difference between expected and actual cash.

Add closing notes (optional) and click Close Day

Notes are useful for explaining any discrepancy (e.g. "Gave change from own pocket, €2 short"). Click Close Day to confirm.

Clock out remaining employees

After the day closes, a confirmation screen appears listing any employees still logged in. Once all are clocked out, click Continue to return to the employee login screen.

Closing a day cannot be undone Once a day is closed it cannot be reopened. Ensure all sales for the trading session have been processed before closing.
Z-report A full Z-report for the closed day is available in the Reports section of the Admin Dashboard. It shows a complete breakdown of the day's trading, cash reconciliation, and per-employee figures.

 Add a customer

Customer profiles let you keep a record of your regular shoppers. Each customer belongs to a specific shop and can be linked to transactions for tracking purchase history.

Go to Customers

In the dashboard sidebar click Customers. You will see a list of all customers for the current shop.

Fill in the customer details

Enter the customer name (required). Phone, email, address, and internal notes are all optional. Email must be unique per shop if provided.

Save

Click Save. The customer profile is created and is immediately available to attach to a transaction.

Customers are shop-scoped Each shop has its own customer list. A customer created in Shop A does not appear in Shop B.

 Assign a customer to a sale

A customer can be linked to a completed transaction from the transaction detail page. This is done after the sale, not at the POS till screen.

Open the transaction

Go to Transactions in the dashboard sidebar and click the transaction you want to assign a customer to.

Find the customer assignment area

On the transaction detail page, search for the customer by name, email, or phone number in the customer search field.

Select the customer from the results

Click the matching customer from the suggestions. The transaction is immediately linked to that customer profile.

Customer must be in the same shop Only customers belonging to the same shop as the transaction will appear in the search results. If a customer is not found, add them first. See Add a customer.

 Add a supplier

Suppliers are the companies or individuals you purchase stock from. Adding a supplier record lets you raise purchase orders against them and track your buying history.

Enter the supplier details

Enter the supplier name, contact person, phone, email, address, and payment terms. The VAT number field is available if the supplier is VAT-registered.

Save

Click Save. The supplier is now available to select when creating a purchase order.

Permission required Only employees with the can manage inventory permission can add, edit, or delete suppliers.

 Create a purchase order

A purchase order (PO) is a formal request to a supplier for stock. Reddy Till tracks POs from creation through to full receipt, updating stock levels automatically when goods arrive.

Select the supplier and expected delivery date

Choose the supplier from the dropdown and set an expected delivery date. Save to create the PO in Draft status.

Add line items

On the PO detail page, add each product (or product variant) you are ordering. For each line enter the quantity ordered and the unit cost. You can add as many lines as needed.

Mark as Ordered

When the order has been sent to the supplier, click Mark as Ordered. The PO status changes to Ordered and the order is locked for editing.

PO statuses at a glance Draft - being built, can be edited and deleted.
Ordered - sent to supplier, cannot be deleted.
Partial - some items received, remainder outstanding.
Received - all items received, stock updated, cannot be edited.
Cancelled - order cancelled.

 Receive stock

When goods arrive from a supplier, recording the receipt against the purchase order automatically updates the stock quantities of the relevant products.

Open the purchase order

Go to Inventory > Purchase Orders and open the PO that has arrived. It must be in Ordered or Partial status to receive against it.

Click Receive Items

The receive page lists each outstanding line item. Enter the quantity you are actually receiving for each line. You do not have to receive all items at once.

Submit the receipt

Click Save Receipt. The stock quantities of the received products are updated immediately. A stock movement record is created automatically for each line received with movement type of Purchase.

PO status updates automatically

If only some lines are received the PO moves to Partial. Once all lines are fully received it moves to Received and is locked.

Partial deliveries are supported You can receive part of a PO when a supplier delivers in multiple shipments. Keep receiving against the same PO until all items are accounted for.

 Stock adjustments

A stock adjustment lets you manually increase or decrease the stock quantity of a product outside of a sale or purchase order. Use this for wastage, damage, theft, stock counts, and similar situations.

Select the product and adjustment type

Choose the product (or variant), then select whether you are Increasing or Decreasing the stock quantity.

Select a reason

Choose the reason that best describes the adjustment: Wastage, Damage, Theft / Shrinkage, Expired, Count Error / Correction, Promotional Giveaway, Return to Supplier, Sample / Display, or Other.

Enter the quantity and save

Enter the number of units to add or remove. Click Save. The product's stock quantity is updated immediately and a stock movement record is created.

Adjustments cannot be undone Once saved, a stock adjustment is permanent. If you enter the wrong quantity, create a second adjustment in the opposite direction to correct it.

 Stock movements

The stock movements log is a complete audit trail of every change to your stock levels. Every sale, purchase receipt, and manual adjustment creates a movement record automatically.

Use filters to narrow the list

Filter by product, movement type, or date range. Movement types include: Sale (stock reduced by a transaction), Purchase (stock added by a PO receipt), and Adjustment (manual change).

Each row shows the change and running stock level

The Movement column shows the quantity change (positive for stock in, negative for stock out) and the Stock After column shows the stock level immediately after that movement.

Permission required Viewing stock movements requires the can view reports permission.

 Transaction history

The transaction list shows every sale processed through the POS. You can search, filter, view full details, reprint receipts, process refunds, and void transactions.

Go to Transactions

Click Transactions in the dashboard sidebar, or access it from the POS hamburger menu if you are on the till screen.

Filter and search

Use the search bar to find transactions by transaction number, employee name, or amount. Filter by date range, payment method, or transaction status (completed, refunded, voided).

Open a transaction for full detail

Click a row to open the transaction detail page. This shows the full itemised breakdown, the payment method used, the employee who processed it, and the terminal it was rung on.

Reprint, refund, or void

From the transaction detail page you can reprint the receipt as a PDF, process a full or partial refund, or void the transaction. Voids and refunds require the appropriate employee permission.

Refund vs void A refund returns money to the customer and records the refund amount against the original transaction. A void cancels the transaction entirely. Both are irreversible.

 Z-report and POS days

Every time a POS day is closed, a full summary record is stored. The Z-report for a day gives you a complete breakdown of that day's trading in one place.

Filter by date or terminal

Use the filters to find the day you want. Each row shows the terminal, opening and closing times, total sales, transaction count, and the cash over or short figure.

Open the Z-report

Click Z-Report on any closed day to open the full report. It includes: total sales, breakdown by payment method, cash in/out movements, discounts, refunds, voids, and a per-employee sales breakdown.

Download as PDF

Click Download PDF to save or print the Z-report. The PDF uses the same data as the on-screen report.

One Z-report per POS day per terminal Each terminal tracks its own POS day independently. If you have two tills, each one has its own daily Z-report.

 Payroll report

The payroll dashboard gives you a summary of hours worked by each employee within the current pay period. Break time is deducted automatically from each shift.

Review the current pay period summary

The dashboard shows each employee's total hours worked, total break time, and net hours (worked minus breaks) for the current pay period. The pay period cycle is configured in your shop settings.

Open an employee's time detail

Click an employee's name to open their time detail page. This shows every shift session individually: clock-in time, clock-out time, break durations, and a session total.

Make a manual time entry if needed

If an employee forgot to clock in or out, a manager can add a manual time entry from the time detail page. All manual entries are logged with the manager's name and the reason for the change.

Pay period is set per shop The pay cycle (weekly, bi-weekly, monthly) and the cycle start day are configured in your shop settings under People and Payroll settings.

 Receipt not printing

If receipts are not printing, or the Bridge not connected banner is visible in the POS header, work through the checklist below.

Check that POS Bridge is running

Look for the POS Bridge icon in the Windows system tray (bottom-right of the taskbar) or the macOS menu bar. If it is not there, open POS Bridge from the Start menu or Applications folder.

Verify the authentication code

The authentication code in POS Bridge must match the code shown in the Admin Dashboard for this terminal. If they do not match, update the code in POS Bridge. See Install POS Bridge for where to find the code.

Check the USB printer cable

Ensure the USB cable between the PC and receipt printer is firmly connected at both ends. Try unplugging and re-plugging it.

Restart POS Bridge and refresh the POS browser tab

Right-click the POS Bridge tray icon and choose Restart. Then press F5 (or Cmd+R) in the POS browser tab. The Bridge not connected banner should disappear once the connection is restored.

You can still process sales while fixing the printer Use Complete & No Print to finalise transactions normally. All sales are saved. Once the bridge issue is resolved, future sales will print automatically.

 Pairing is disconnected

If the POS shows a message that the terminal is no longer paired, or you reach the pairing page unexpectedly, the device's pairing token is no longer valid. This can happen if the browser data was cleared, a different browser was used, or the terminal was revoked in the dashboard.

Revoke the old terminal record

Find the affected terminal, click Revoke. This cancels the old token permanently.

Create a new terminal record

Click Add Terminal, give it a name, and save. A new pairing token is generated.

Pair the device with the new token

On the till machine, open the browser and go to your Reddy Till URL followed by /pair/. Paste the new token and click Pair this device. See Pair the terminal for full steps.

Pairing is stored in the browser Each pairing is tied to the specific browser on that machine. Clearing cookies or switching from Chrome to Edge, for example, will require re-pairing.

 I have forgotten my PIN

PINs cannot be retrieved; they can only be reset by a manager or Super Admin. There is no self-service PIN recovery on the POS.

Ask your manager or Super Admin

They need access to the Admin Dashboard with the can manage employees permission, or they are the Super Admin for the account.

Open your employee record and edit the PIN

Click on your name, then Edit. Enter a new 4-digit PIN in the PIN field and click Save. See Add employees for more detail on employee settings.

Log in with the new PIN

Return to the POS terminal login screen and enter the new PIN.

Only managers can reset PINs Employees with the can manage employees permission, or the Super Admin, are the only people who can edit PINs. This protects against unauthorised access.

 Add terms & conditions to receipts

Receipt terms & conditions are set at the shop level and printed at the bottom of every receipt issued from that shop.

Go to Settings > Shops and edit your shop

Scroll to the Receipt Settings section

Find the Receipt Terms & Conditions field in the Receipt Settings area of the shop form.

Enter your terms text

Type the text you want printed at the bottom of every receipt. For example: "No refunds without a valid receipt. E&OE."

Save the shop

Click Save. The text will appear at the bottom of every receipt printed from this shop from the next sale onwards.

Keep it short Receipt paper is narrow. One or two concise lines is ideal. A very long block of text may be cut off or overflow depending on your printer settings.
